A Qualified Electronic Signature (QES) is the digital equivalent of a handwritten signature used in European Union. It is a highly secure form of electronic signature that is issued by an accredited certification provider and is legally recognised by Polish government.
When a document is signed with a QES, it proves the identity of the person who signed it and confirms that the document has not been changed after it was signed.
At the University of Lodz documents sent to newly admitted students, including the Letter of Admission, are signed with a qualified electronic signature (QES), which has the same legal effect as a handwritten signature.
Each electronically signed document is also accompanied by a verification file provided by the University of Lodz. This file allows the authenticity of the document to be verified and confirms to the relevant authorities, including the Ministry/Embassy, that the document is authentic and has not been altered in any way.
You may be asked by the Embassy to send the pdf files via email so that the Embassy can verify the signature themselves. The University may be asked by the Embassy to provide the pdf files as well.
Now, here are some steps to follow to be able to generate the documents successfully:
Step 1: Log into the IRK system
Step 2: Go to the ‘Enrollment applications’ tab
Step 3: Find the study programme you were admitted to and look for a section titled: ‘Files to download’
Step 4: Download the file to your computer (the signature is not visible on the phone – you see a question mark)
Step 5: Open it in Adobe Acrobat Reader (pdf file reader)
Step 6: Print the pdf file together with its verification document.
You may already be familiar with this type of signature from the Individual Recognition Statement generated through the SYRENA NAWA system, which was required as part of your application. That document was also signed electronically and served as an official, authenticated document.
